Account
We reserve the right to terminate any agreements with you and refund all amounts relating to unused services. Once terminated, we will delete all personal information in accordance with our Privacy Policy.
Password
You are responsible for keeping your password confidential. Please notify us of any suspected unauthorised activity and we will reset your password.
Equal Opportunities
Active Academies endeavours to provide services to all children regardless of gender, special needs, background, religion, or ethnicity. Through our booking process, we ask you to notify us of any issues or conditions that may require additional support, so we can prepare accordingly.
Bookings
Bookings can be made online via the Active Academies website https://activeacademies.co.uk or directlyhttps://bookwhen.com/activeacademies
Bookings for all Active Academies services must be made in advance.
Full payment must be made at the time of booking via our card services.
All bookings will be confirmed by email.
Amendments can be made to bookings via email info@activeacademies.co.uk up to 7 days in advance of a camp or club starting. Please call after this date and we will endeavour to accommodate your changes, although this cannot be guaranteed.
Cancellation
You can cancel up to 7 days in advance of a camp or club starting for a full refund. After this date, and up to 24 hours in advance, we will provide credit towards another activity, valid for 12 months. Unfortunately, cancellation with 24 hours of a camp or club starting will not be refunded.
Forced Changes
If Active Academies is forced to close or amend a camp or club due to an external factor beyond its control, we will endeavour to rearrange all activities and allow credit to be transferred accordingly. We will not, however, be able to provide refunds.
Personal Property
Valuable items should not be brought to Active Academies camps or clubs, and we will not be liable for the loss or damage of any such item. This includes mobile phones and other electronic devices. We also advise that that all bags and clothing are clearly labelled with the child’s name.
Food and Drink
We are unable to provide food, so children will need a packed lunch and a snack for morning break. Water is provided to top up personal bottles.
To safeguard children with allergies, we aim to be a ‘NUT FREE’ environment and ask that everyone respects this.
Behaviour
Active Academies ensures that all staff and children attending activities are treated with care and respect and will use effective behaviour management strategies accordingly.
We naturally expect staff and children to be free from bullying, harassment, and aggressive behaviour, and will take steps to challenge this, whenever it occurs, and whoever it comes from.
In the case of persistent poor behaviour or a serious one-off incident, Active Academies reserves the right to ask parents/guardians to remove a child from its camps and clubs and terminate all future bookings.
Security
All children must be checked in and out of camps and clubs, at the beginning and end of the day, by a parent/guardian.
Drop Off & Collection
Specifically, camps begin at 9:00am and finish at 3:00pm. We ask that children arrive no earlier than 8:45am and expect all children to be clear of the site by 3:15pm, at the very latest. We reserve the right to withdraw our services for persistent late collection. In the event of a child not being collected, we will call the emergency contact. In all cases, we reserve the right to charge for our supervision time.
Safeguarding
We take children’s safety and well-being very seriously. It is, in fact, at the very core of our business. As expected, everyone who works for Active Academies will have an enhanced Disclosure and Barring Service (DBS) check in addition to specific training that relates to the activities being delivered. Essentially, we treat children as if they are our own and their health and happiness is therefore paramount.
Complaints
Active Academies aim to work in partnership with parents, carers and children to deliver high-quality provision, for everyone, at all times. If, for any reason, we fall short of this aim, we would like to be informed at the earliest opportunity info@activeacademies.co.uk so we can either resolve the issue or amend future practice.
Accidents & Injuries
We always have a trained first aider on site. In the event of an accident or injury, first aid will be administered accordingly and, if deemed necessary, we will call the emergency contact person identified on the booking form. For serious incidents, we will always call the emergency services.
Health & Wellbeing
Please give details of medical issues on the booking form, as requested. The retention and issuing of prescribed medication must be agreed in advance with the camp or club leader.
In addition, any child who is ill or infectious MUST be kept at home for the full duration of their ailment. Any Covid rules, in place at the time, MUST also be adhered to.
Insurance
Active Academies has the correct cover of Public & Employee Liability insurance.
Changes
These Terms & Conditions can be found on our website and may be subject to change at any time. We therefore advise you review T&Cs each time you book. We may also alter the website and make changes to camps or clubs at any time. In all cases, should these changes be significant, we will contact you via email.
